Project Administrator Job Description

Job Summary:
The Project Administrator is responsible for ensuring the successful execution and completion of various projects by providing essential administrative support and coordination. This position involves a diverse range of responsibilities aimed at managing project logistics, supporting the project team, and maintaining effective communication among all stakeholders.
The Project Administrator performs a variety of duties, including, but not limited to:
- Assist the Account/Project Managers in all phases of the project lifecycle, including planning, execution, and closure.
- Create and maintain comprehensive project documentation, including project plans, schedules, meeting minutes, and reports.
- Support Account/Project Managers and team with submitting and ensuring that all proposals are received by the client.
- Assist with project performance reporting and distribute to project manager.
- Communicate with internal accounting team on PO’s, Billings, and invoice management for projects.
- Purchase order and contract management- ensure PO’s and contracts are received from client and applied to proper projects.
- Billing and invoice assistance – ensure jobs are closed and billed in a timely manner once completed.
- Safety compliance – ensure safety training and paperwork is completed in accordance with operational requirements.
- Communicating and upholding the Company’s commitment to Integrity and Code of Ethics.
- All other duties as designed.
Qualifications & Abilities
- High School Diploma required.
- At least two years of administrative or office experience.
- Demonstrates a strong ability to manage time effectively, ensuring deadlines are consistently met and projects are completed on schedule.
- Must have the ability to take direction and interact with the team.
- Exhibits exceptional organizational skills with attention to detail.
- Proficient in using various computer applications and software relevant to project management and administration.
Work Environment & Physical Requirements
- Primary work area is a controlled office environment, requiring the ability to sit for extended periods of time.
Classification & Compensation
- The position is full-time, permanent and non-exempt.
- The pay range varies, depending on experience, skills, abilities, and length of service with the Company.
